Why Your Dex Reminders Might Be Wrong, and How Quin Fixes It

Dex tells you it's been three months since you talked to a client, so you send a check-in email that opens with "it's been a while." She replies within the hour: you'd talked twenty minutes ago, on the phone, about her son's tuition payment. The reminder was wrong because that call never made it into her Dex record.

What Tends to Get Missed

  • Calls that happen off the calendar. A quick call from your cell phone rarely gets logged anywhere.
  • Short calls that feel too small to log. A two minute check-in still counts as contact, but it's the first thing skipped when you're busy.
  • The gap between talking to someone and it being recorded. Even when a call gets logged eventually, the delay can leave a reminder firing on outdated information.
  • Which touchpoint actually counts as the most recent one. An email exchange might count in your head as "we're in touch," but if it's not reflected in Dex, the system doesn't know that.
  • Reminders that fire on stale data. Once one contact's date is off, every reminder tied to that contact is off too, and the pattern repeats across your list.

How Quin Handles It

Quin logs every call it joins to the matching Dex contact the moment the call ends, which means the last-contacted date on that record reflects what actually happened rather than what got typed in later, if it got typed in at all. That single detail is what makes a staying-in-touch reminder useful instead of embarrassing.

Picture an advisor with two hundred contacts who relies on Dex to flag anyone she hasn't spoken to in six weeks. Without accurate logging, half of those flags are noise, contacts she spoke with last week during a call that never made it into the system. With Quin logging every call, the flags mean something again: when Dex says it's been six weeks, it has been, and the list becomes short enough to act on instead of something to scroll past.

That accuracy compounds over time. A reminder system is only as good as the data feeding it, and once that data can be trusted, following up with the right people becomes a five minute task instead of a guessing game.

Best Practices

  • Let Quin join calls that matter, even short ones. The smaller check-ins are often the ones most likely to get skipped otherwise.
  • Double check reminders during your first few weeks. Comparing what Dex flags against your own memory helps confirm the logging is catching what it should.
  • Log calls Quin doesn't join. A quick manual note in Dex for any call outside your calendar keeps the last-contacted date accurate too.
  • Treat a reminder as a starting point, not gospel. Use it to prioritize your list, then trust your own memory for anything that feels off.

Setting It Up

Connecting Dex to Quin takes a few minutes: sign into your Dex account, grant permission for Quin to read and update contact records, and confirm the connection is active. Once set up, every call Quin joins updates the relevant contact's timeline, which keeps your staying-in-touch reminders based on real conversations instead of gaps in your own memory. You can find and adjust the connection under Settings, then Integrations.
