Workflows overview
Create automated workflows that run on schedule or when triggered. Set up daily briefs, weekly summaries, meeting prep, and follow-ups so Quin handles routine work automatically.
Workflows let you automate recurring tasks by telling Quin what to do and when to do it. Create scheduled workflows that run daily, weekly, monthly, or yearly, or set up triggered workflows that run automatically when specific conditions are met. Quin handles routine work on autopilot so you can focus on what matters.
Before you begin
Connect your calendar and email to Quin so workflows can access your meetings and send results. Learn how to connect integrations
How to set it up
- Click on Settings mode in the top switcher
- Select Workflows
- Click Add workflow
- Enter a Title for the workflow (e.g., "Weekly summary" or "Meeting prep")
- Add Instructions that tell Quin what to do with clear purpose, outcomes, and steps to follow
- Toggle Automatically run this workflow on
- Choose when the workflow should run:
- Recurring schedule - Runs at specific times (daily, weekly, monthly, or yearly)
- Triggered by Quin - Runs automatically when specific conditions are met (e.g., "After meetings where a life event is mentioned")
- Select Who can use this workflow:
- Just me - Only you can use this workflow
- All team members - Anyone on your team can use this workflow
- Click Save
Quin also provides Core workflows, which are pre-built automations for common tasks like the Notetaker, Scheduler, Meeting reminders, Email replies, Email follow-ups, and Daily brief. Browse the Discover tab to find workflow templates you can add with one click.
What to expect
Your workflow runs automatically according to its schedule or trigger. Quin completes the instructions and sends you the results via chat, email, or your CRM depending on what you requested. Recurring workflows continue on their schedule until you turn them off or delete them. You can manually run any workflow at any time by asking Quin or clicking the play button on the workflow card.
Managing workflows
Edit, pause, or delete workflows from the Workflows page in Settings. Click any workflow to modify its title, instructions, schedule, or trigger. Toggle Automatically run this workflow off to pause a workflow without deleting it. You can manually run paused workflows by asking Quin or clicking the play button.
What you can automate
Workflows handle any instruction you can give Quin. Common examples include summaries, reminders, meeting prep, follow-ups, and reports:
- Weekly summary - "Send me a weekly summary of my meetings every Friday at 4pm"
- Meeting prep - "Send me background on attendees and discussion topics 30 minutes before each meeting"
- Pipeline check-in - "Every Monday at 9am, show me open deals without updates in the last 7 days"
- Life event follow-up - "When a client mentions a life event like a wedding, birth, or job change, draft a thoughtful follow-up email"
- Quarterly review - "On the first Monday of each quarter, list all clients without a check-in in 90 days"
- Monthly billing - "Remind me to send invoices on the last business day of each month"
- Task deadline digest - "Every Friday at 3pm, show me what's due next week"
- Client birthday - "When a client has a birthday this week, remind me to send a card"
- Agenda distribution - "Send meeting agendas to attendees 24 hours before each meeting"
- Team task assignment - "Every Friday at 4pm, remind me to assign next week's tasks"
Common questions
Can I change a workflow after creating it? Yes. Click any workflow from the Workflows page to edit its title, instructions, schedule, or trigger conditions.
How do I stop a recurring workflow? Toggle Automatically run this workflow off to pause it, or click the delete icon to remove it completely. Paused workflows can still be run manually.
What happens if I'm not available when a workflow runs? Quin completes the workflow and sends you the results. You'll receive them the next time you check chat, email, or your CRM.
Can I run a workflow manually? Yes. Ask Quin to run it by name, or click the play button on the workflow card. The workflow will resume its normal schedule after running manually.
What's the difference between Core workflows and My workflows? Core workflows are pre-built automations included with Quin (like Notetaker, Scheduler, and Daily brief). My workflows are custom automations you create for your specific needs.
