Upload a fillable PDF to Quin and let it populate fields automatically using your meeting data, CRM records, and contact details.

Fillable PDF templates let you upload existing PDF forms with pre-defined fields. When you ask Quin to generate the document, it reads the field names and populates them using relevant data from your meetings, CRM, and contacts.

Before you begin

Your PDF must be a fillable PDF with defined form fields — not a flat PDF image. Use Adobe Acrobat, Nitro, or another PDF editor to add fields before uploading.

How to set it up

  1. Go to Settings > Templates
  2. Click Add template
  3. Select Upload fillable PDF and click Next
  4. Enter a descriptive Title that helps Quin understand what the template is for (e.g., "New client intake form")
  5. Upload your PDF by dragging the file into the upload area or clicking click to choose file
  6. (Optional) Add Template guidelines to give Quin specific instructions, like "Always search the CRM for personalized details" or "Only use for active clients"
  7. Click Save

What to expect

After saving, your template appears in My templates. When you ask Quin to generate this document, it reads each field in the PDF and fills them in using the most relevant data available — from your meeting notes, CRM contact records, or the current conversation. Quin returns the completed PDF for you to review, download, or send.

Troubleshooting

Quin isn't filling in the fields correctly

  • Make sure field names in your PDF are descriptive (e.g., "ClientFirstName" rather than "Field1")
  • Add template guidelines to tell Quin where to find specific data (e.g., "Pull the client name from the CRM")
  • Verify the PDF has actual form fields and isn't a scanned flat image

The PDF won't upload

  • Confirm the file is in PDF format
  • Check that the file size is within normal limits
  • Try re-exporting from your PDF editor and uploading again

Some fields are left blank

  • Quin can only populate fields if the relevant data exists in your meeting notes, CRM, or conversation context
  • Add more context to your request or check that the contact exists in your connected CRM
