Turning on billing for a household without opening Holistiplan

Turning on billing for a household without opening Holistiplan

A prospective household finally signs on as a paying client, and somewhere on the list of things to update is flipping their billing status on in Holistiplan. It's a small task, one toggle, but it lives in a different application than the conversation where the client said yes, so it waits until later, and later sometimes turns into next week.

Billing status isn't a detail anyone notices until it's wrong. A household still marked as not billing, weeks after they became a client, is the kind of gap that only surfaces when someone happens to check.

Why this specific task keeps slipping

  • It happens right after a conversation, not during planning work already open in Holistiplan. The context to make the change is fresh, but the application isn't.
  • It's easy to assume someone else will handle it. Especially on a team where more than one person might touch a given household.
  • It doesn't feel urgent the moment it's needed. There's no immediate consequence to leaving it for later, until later.
  • It's a single toggle, which makes it easy to forget entirely. There's no multi-step process to remind anyone it's pending.

How Quin handles billing in Holistiplan

Tell Quin to turn on billing for a household, by name, and it applies that change directly in Holistiplan. Billing works differently from most other fields Quin updates: instead of writing a value into a record, Quin flips the setting itself, the same way you would if you opened Holistiplan and did it by hand. Turning it off, if a household stops being billed, works the same way.

Because this happens through the same conversation where the decision came up, there's no separate step of remembering to do it later once you're back at a computer with Holistiplan open.

Right after the conversation that made it necessary

Say a household signs an agreement at the end of a call, and you tell Quin directly, in the same conversation, to turn on their billing. It's active in Holistiplan by the time you move to whatever's next, instead of sitting on a list of things to circle back to.

The value here isn't the toggle itself. It's that a task with no natural reminder attached to it gets handled at the moment it comes up, instead of depending on someone remembering it later.

Getting the most out of it

  • Ask Quin to turn on billing the moment a household converts, in the same conversation where that decision gets made, rather than saving it for later.
  • Use the household's exact name Holistiplan has on file, so the change applies to the right record.
  • Turn billing off the same way when a household stops being a client, instead of leaving Holistiplan out of sync with reality.
  • Check the household in Holistiplan directly if you're ever unsure of its current billing status, since Quin applies the change but doesn't keep a separate log of billing history.

Setting it up

Connect Holistiplan under Settings, then Integrations, and approve access for household records. From there, asking Quin to turn billing on or off for a household by name applies the change directly, without a separate trip into Holistiplan.
