Add company knowledge so Quin can answer questions about your business, processes, and policies. Upload documents or write articles directly.
Knowledge lets you give Quin information about your business so it can answer questions about your processes, policies, and internal details. Add articles covering things like your vacation policy, pricing structure, or client onboarding process, and Quin references them when relevant.
How to set it up
- Go to Settings > Knowledge
- Click Add article
- Give the article a Title, like "Client onboarding" or "Expense policy"
- Add the content Quin should reference
- Upload a file - Drop a PDF, Word document, image, or text file, and Quin extracts the text automatically
- Write it directly - Type or paste the information into the content box
- Leave the toggle On so the article is active, or turn it off to save it without using it yet
- Click Publish
Uploading a file extracts its text into the content box but doesn't save the file itself, so write the content as reference material with clear facts, steps, and policies rather than relying on formatting from the original document.
What to expect
Once published, Quin references your knowledge articles whenever a conversation touches on something they cover. For example, if you add an article about your refund policy and later ask Quin "What's our refund policy?" or ask it to draft an email that mentions refunds, Quin pulls the relevant details from that article. Quin only surfaces knowledge that's relevant to what you're asking or working on, so you don't need to reference articles by name.
Managing knowledge articles
Go to Settings > Knowledge to see all your articles. Click any article to edit its title or content. Toggle an article off to stop Quin from referencing it without deleting it, and toggle it back on anytime.
Troubleshooting
Quin isn't using the information from my article
- Check that the article is toggled On, not saved as a draft
- Make sure the content is specific and written in plain language rather than complex formatting
- Try rephrasing your question with keywords that appear in the article
My uploaded file didn't import correctly
- Check that the file is a supported type (PDF, Word, image, or text)
- Review the content box after uploading and edit any text that didn't extract cleanly
- For scanned documents or images, verify the text is legible before uploading
Quin is giving outdated answers
- Edit the article and update the content, then click Publish again
- Recent changes may take a few minutes to be reflected
I added too much information to one article
- Split large topics into separate, focused articles rather than one long article
- Give each article a clear, specific title so it's easy to manage later
