Word document templates
Upload a Word document with merge tags and Quin fills them in automatically. Output as PDF or Word using your meeting data and CRM records.
Word document templates let you upload a .docx file that contains merge tags as placeholders. Quin replaces the tags with real values from your meetings, CRM, and contacts, then returns the completed document as a PDF or Word file.
Before you begin
Your Word document should contain merge tags where you want Quin to insert data. Merge tags follow the format {$Field_Name} — for example, {$First_Name}, {$Email_Address}, or {$Meeting_Notes}. Use Microsoft Word or Google Docs (exported as .docx) to prepare your file.
How to set it up
- Go to Settings > Templates
- Click Add template
- Select Upload Word document and click Next
- Enter a descriptive Title that helps Quin understand what the template is for (e.g., "Proposal letter" or "Annual review")
- Upload your Word file by dragging it into the upload area or clicking click to choose file
- Set your Default output format — choose PDF or Word depending on how you'll use the document
- (Optional) Add Template guidelines to give Quin specific instructions for populating the template
- Click Save
What to expect
After saving, your template appears in My templates. When you ask Quin to generate this document, it identifies each merge tag and replaces it with the corresponding value from your CRM, meeting notes, or conversation. Quin returns the completed file in your chosen output format — PDF or Word — ready to review or send.
Troubleshooting
Merge tags aren't being replaced
- Confirm tags use the correct format:
{$Field_Name}with no spaces inside the brackets - Make sure the field name corresponds to data Quin can access (contact name, email, meeting details, etc.)
- Add template guidelines to clarify where Quin should look for each value
The file won't upload
- Confirm the file is saved as a
.docxfile, not.docor another format - Try re-saving the file from Word and uploading again
The output format isn't what I expected
- Open the template in My templates and update the Default output format setting
- You can switch between PDF and Word at any time
