What happens to a Teams Phone call after you hang up

An account manager checking in with a dozen clients over the course of a week runs into the same problem after every call: the conversation is easy to have and hard to fully remember once three more calls happen right after it.

What's easy to lose once a call ends

  • A specific concern a client raised, distinct from the general shape of "checking in."
  • A number mentioned once, like a renewal date or a budget figure.

  • Which client said what, once several check-in calls start covering similar ground.

Nothing about how the call itself works changes: transcription runs the same way it would without Quin connected, and other participants hear the standard Teams notification confirming it's active. Once the transcript is ready, Quin generates a summary with the key decisions and action items, and can draft a follow-up email or add an update to a connected CRM based on Guidelines. None of this depends on remembering to do anything extra during the call itself; the transcript already being generated is what makes the rest possible.

Say that account manager's third call of the week covers a client mentioning they're reconsidering their renewal date. Quin retrieves the transcript once the call ends and produces a recap that keeps that detail intact, rather than folding it into a general sense that the call "went fine."

Why this matters

A recap only holds value if it keeps the detail that made one call different from the next. A week of check-ins tends to blur together without something anchoring what was said on each one, and a transcript processed the same way every time is what keeps that anchor from depending on memory. Getting the most out of it

  • Confirm transcription is enabled for the calls meant to be processed; Quin only works from what Teams transcribed.
  • Set Guidelines for what should show up in a summary, like specific figures or a client's stated concerns.
  • Check the first several recaps closely to confirm the detail level fits.
  • Give a call a few minutes after it ends before checking Quin, since retrieving and processing the transcript takes some time.

Setting it up

Connect Microsoft Teams Phone under Settings, then Integrations, and confirm call transcription is enabled in your Teams settings. From there, every call transcribed the normal way gets picked up and turned into a recap once it ends.
