Quin doesn't need every recorded Zoom Phone call

Not every recorded Zoom Phone call is worth a summary. A ninety-second call to confirm a meeting time, an internal check-in with a colleague, a call that got recorded by habit but never went anywhere: none of these need the same treatment as a real client conversation. Left on its default setting, Quin processes any call that gets recorded, since it has no built-in way to tell which ones matter.
For anyone whose Zoom Phone habits include recording more than just client calls, that adds up to a lot of recaps that weren't worth writing.
Calls that usually don't need a recap
- Quick logistics calls, like confirming a time or checking on a delivery, where nothing substantive was discussed.
- Internal calls with colleagues that happen to run through the same recorded line as client work.
- Calls that get recorded by default, regardless of what they're about.
- Very short calls where a summary would say more about the call's length than what was said.
How Quin handles it
Guidelines let you set rules for what Quin should process, in plain language: something like "only process calls longer than 5 minutes" or "skip internal team calls." Recaps that do get created but weren't worth keeping can also be deleted manually from your account.
Say your team has a habit of recording every call, including two-minute check-ins between colleagues. Adding a Guideline that skips calls under five minutes filters those out without touching how longer client calls get handled.
Why this matters
A recap that shows up for every recorded call, regardless of what was on it, is easy to start skimming past instead of reading. Once that happens, an important recap from an actual client conversation is competing for attention with a dozen short, forgettable ones, and it's easy to miss the one that mattered. The fix isn't reading more carefully. It's making sure the recap only shows up when there's something worth reading in the first place.
Getting the most out of it
- Start with a length threshold if short calls are the main issue. A rule like "skip calls under two minutes" covers most of it by itself.
- Add specific rules for known patterns, like internal extensions or a colleague's line, rather than trying to catch every case at once.
- Delete recaps as you notice them rather than waiting to build a longer list of Guidelines first.
- Revisit your Guidelines occasionally, since new call habits form and old rules stop covering what's happening now.
Setting it up
Connect Zoom Phone under Settings, then Integrations, and confirm recording is enabled. From there, add Guidelines for any call pattern you want Quin to skip, and it applies to every call going forward.
