How Quin Keeps AgencyZoom Notes Tied to the Right Lead
August 6, 2026
An agent wraps up a call with a young couple shopping for their first homeowners policy, then dials straight into a renewal call with a longtime client who wants to raise auto liability limits before a teenager starts driving. Three more calls come and go before there's a free minute, and by the time anyone opens AgencyZoom, the deductible the couple asked about and which vehicle needed adding are already blurring together with the rest of the morning.
What Tends to Get Missed
- Exact coverage numbers. A deductible, liability limit, or quoted premium is easy to remember for an hour and hard to remember by the end of the day.
- Which policy the call concerns. A household with an auto, a homeowners, and an umbrella policy can generate a note that reads fine but attaches to the wrong one.
- The reason behind a request. "Add a driver" means something different when it's a new teenager versus a spouse who just moved in.
- Hesitations about price. A client who paused before agreeing to a premium increase is worth flagging, and that reaction rarely survives a summary written from memory.
How Quin Handles It
Quin's Notetaker joins the call, whether it's a video meeting, a phone call, or a call logged through your calendar. When the call ends, Quin matches the attendee by email to the corresponding customer or lead record in AgencyZoom and logs the note directly there, so it lands on the file the call was about.
Guidelines let an agency set the standard for what belongs in that note. An instruction as direct as "log a note to the lead record after every call" or "always include the specific coverage amount discussed" tells Quin what to prioritize on every call from then on.
Picture an agent handling a call about adding a boat to an existing policy, followed twenty minutes later by a claims question on that same client's auto policy. Both calls involve the same person, but they belong on different parts of the file. Quin logs each to the record that call was about, so the claims note doesn't end up mixed in with the boat coverage discussion.
A note attached to the wrong policy is often worse than no note at all, because it creates false confidence that the file was checked when it wasn't.
Best Practices
- Set Guidelines for what a good note includes. Naming the fields your agency cares about, like coverage limits or renewal dates, keeps notes consistent across every producer.
- Confirm the attendee's email matches AgencyZoom. Matching happens by email, so a personal email on a calendar invite can cause a note to miss its target.
- Check the first few notes on a new policy type. Auto, home, and commercial calls surface different details, and an early review catches gaps before they become a habit.
- Ask Quin directly when something needs checking. A quick question about a client's last call is often faster than scanning the activity history.
Setting It Up
Connect AgencyZoom under Settings, then Integrations, using your AgencyZoom API key, and make sure Notetaker is turned on for these calls. From there, a calendar invite with a matching attendee email is enough for Quin to find the right record and keep the note attached to it.
