Getting Meeting Notes Into the Right Keap Contact Record

A financial advisor finishes a call with a prospect who just agreed to move $200,000 into a managed account. She's on her next call ten minutes later. By the time she has a free minute, the details from that conversation are half gone, and there's no note in the prospect's Keap contact record showing what was discussed. Three weeks later, when the prospect calls with a follow-up question, whoever answers has nothing to reference.

What Tends to Get Missed

  • The note never gets written down at all. Details that live only in memory disappear within a day.
  • The note lands somewhere other than Keap. A sticky note or personal document exists, but not where anyone else will look.
  • What does get logged is stripped to almost nothing. "Good call, follow up next month" means almost nothing two months later.
  • Notes get attached to the wrong contact. Two clients with similar names, and the note ends up hard to find again.

How Quin Handles It

Quin joins the call, listens, and builds a summary of what was actually said. When the call ends, Quin looks for the contact or company mentioned in the conversation and checks it against your Keap records. If it finds a match, it logs the note to that contact so anyone who opens the record afterward sees what was discussed, what was decided, and what comes next.

Picture an advisor on a routine portfolio review who spends a few minutes catching up before getting into rebalancing, then the client mentions a daughter starting college next fall and asks about a 529 plan. Quin catches the rebalancing decision, the new detail about the daughter, and the open question about the 529. That note lands on the client's Keap record with enough detail that the advisor, or anyone covering for her, can pick the conversation back up months later without asking the client to repeat herself.

When a contact exists in Keap but the name doesn't match cleanly, Quin flags it rather than guessing and logging the note somewhere wrong. If enough identifying information comes through, Quin can create a new contact instead.

The value shows up later, when it matters most. A client record that reflects every conversation is the difference between picking up where you left off and starting over, and between a firm that transitions clients smoothly and one where knowledge walks out the door with whoever took the call.

Best Practices

  • Keep names in Keap consistent with how people actually say them on calls. A contact saved under a formal legal name but called by a nickname is harder to match correctly.
  • Set a guideline for what belongs in a note. Telling Quin to focus on decisions and next steps rather than small talk keeps the record useful.
  • Check newly created contacts periodically. Confirm that any contact Quin creates from a call matches how you want that person represented in Keap.
  • Review the first few weeks of logged notes closely. This is the fastest way to catch matching issues before they become a habit.

Setting It Up

Getting notes flowing into Keap doesn't require rebuilding how you run calls. Connect Keap under Settings, then Integrations, authorize access when prompted, and Quin starts matching contacts and logging notes from your next meeting.
