Full pipeline with zero admin backlog
How a sales consultant launching his second business stopped drowning in admin and focused on the work that actually closes deals.
About Duston
Duston Harper is the founder of Groundplan Co., a sales consultancy based in St. Petersburg, Florida. He helps sales leaders at SMB and mid-market companies fix two problems: stuck deals and reps drowning in admin. Before starting Groundplan, Duston spent more than a decade building and refining sales playbooks at Milwaukee Tool, Stryker, and several startups across industrial manufacturing, medical device, and SaaS. He came to Quin right as he was launching his business for the second time, with hard-won experience and a clear plan. He just needed the right tool to execute it without doing everything himself.
The challenge
Duston has always prided himself on working hard. That's not the problem. The problem is what happens when the workhorse gets tired.
Throughout his career, he struggled to delegate. Not because he didn't know he should, but because handing things off always seemed to create more work than it saved. He tried a virtual assistant. The ramp-up alone ate the time he was trying to get back. He tried other AI tools. Still too manual, still too much thinking required on his end.
When he launched Groundplan, he was tracking five to ten hours a week going to meeting prep, CRM updates, follow-up emails, and calendar back-and-forth. None of it was optional. All of it was keeping him away from the only thing that actually grows a consulting business: being in front of the right people at the right time.
How Duston uses Quin
Meeting prep was the first thing that clicked. Duston typically runs four or five meetings a day. The day before, Quin pulls together a one-page brief: the account background, his goals for the conversation, targeted questions built around his own sales framework, and recommended next steps. He reviews it, makes a few tweaks, and goes in prepared. Even when he's running behind, the prep is already there.
The CRM came next. Duston uses Pipedrive. After every meeting, Quin captures the notes and updates the record on its own. He approves the summary and moves on. No scrolling, no manual entry, no time spent on things a tool should be doing.
Follow-up worked the same way. Duston believes in sending a recap within 24 hours: what was discussed, key takeaways, action items on both sides. Quin drafts it in his voice using the format he set up. He adds a personal touch and hits send.
Then there are the custom workflows. When a prospect confirms an assessment — how Duston gets in the door with new clients — Quin kicks off the full sequence: sends the survey, fires off a welcome email, and generates the interview scheduling template. What used to take a couple of hours now takes minutes. He also built a weekly planning workflow. Quin pulls together a recap of the week, a post-mortem of what went well, and a prioritized view of the week ahead. What used to take several hours of focused planning now takes fifteen minutes of light editing.
The results
A founder launching a consulting business from scratch, running it without an admin or operations hire:
- Meeting prep for four to five daily meetings handled the day before, without manual research
- CRM updated after every call without logging in to do it
- Follow-up drafted in his voice and ready within minutes of each meeting
- Assessment onboarding workflow cut from hours to minutes
- Weekly planning reduced from several hours to fifteen minutes
- 30-plus outbound meetings booked in the first two months
- First retainer client closed in month two
For someone who spent years trying to let go and never quite finding the right way to do it, Quin was finally the answer. Not because it changed how Duston works, but because it handles the parts that were never a good use of his time to begin with.
"I've always battled with delegating. And I think Quin is finally that moment where it's like, okay, now this makes so much sense. Why have I been doing all this stuff myself?"
